It’s time to review and print your 2024 ALL-STAR Meet programs.

HEAT SHEETS: Teams are responsible for printing heat sheets for coaches and volunteers. The League will print for officials and ready bench.

SPECIAL NOTES: We will not sell heat sheets or charge an entrance fee for the meet, nor will we have concessions. Sessions are relatively short. There is a ZERO FOOD POLICY for anyone on deck. Mark everything with your swimmers’ name (and team) if possible.

D&J Sports will be onsite outside of the Lobby with swimmer accessories and a wildly wonderful assortment of t-shirts, jackets, and hoodies.

  • Coaches will share a meet file that includes scratches by deadlines shared earlier today by 7:00p tonight.
  • Psych sheets will be shared tomorrow morning for emergency scratching and contacting of alternates.
  • Alternates will be shown on psych sheets.

o   Discussion:

o   No place picking per bylaws

  • Mel (SHRSL): Need a standard for awards, to properly set expectations
  • Award Discussion – Definitions of Potential Options:

o   Place Picking (method from last millennium, zero technology) – volunteer for each lane eyeballs place and hands out ribbon on the spot.

  • Problem – against league rules and awards should be determined by ordered times.
  • MEET 1: This could be done for Meet 1 with only one team.

o   Ribbons Without Labels – Swimmers from both teams go to designated awards area post swim, to receive ribbons by heat. Wait for timecards get circled and placing order sorted (2019 method and prior years).

  • Problem – kids don’t have names or times on ribbons
  • NOTE: Most teams don’t put times/names on ribbons
  • NOTE: Easy fix
  • Solution:
  • Parents can get times from Swimtopia or a meet report that teams can email out after meet.
  • Parents can get times from Swimtopia results AT MEET, if printed
  • Teams can print labels later, and put in “box” for swimmer pick up

o   Speeding Tickets solves all problems – can be available the next day or two

o   Fun Friday “paper awards” / Speeding Tix

o   Lots of great ways to reward swimmers

o   Ribbons With Labels – Time cards get circled and placing order sorted, times entered into Swimtopia.  Labels with names and times get printed and stuck onto ribbons, then ribbons either go out to Ribbons area or given to teams to hand out later.

  • Problem – time consuming and extra volunteers needed.
  • Swimmers s
  • If awards are given out later, the host team would still have to sort that out and print labels before the visiting team can leave. A broken or failed printer will cause delays too.
  • Additionally, printing the labels will have the added complexity to have the time entry person enter a heat number too so that Meet Maestro can print and award by heat.
  • Solutions:
  • Meet Maestro will have to be one computer for all time entry or Internet access guaranteed so results/placings for both teams can be sorted in real time. A merge CAN HAPPEN. But not until end of meet UNLESS:

o   Run a boys computer

o   Run a girls computer

o   Merge as you go for results

o   This will eliminate “heats” tho

REMINDER on MOC RESULTS:

  • Submit results by NOON on July 7. No exceptions unless weather comes into play and we will communicate accordingly WED, JULY 7. Keep eyes & emails open!
  • MOC Files needed: TeamMgr8/HY3 results file AND your normal results upload to Swimtopia.

  • TOP TIMES from MOCs: Weather/Results permitting: First round of TOP TIME reports form MOCs will pop up around 2pm on July 7.

Team Expectations:

  • Each team needs to allocate TWO (2) VOLUNTEERS. Mandatory.
  • Submit names pre-meet to Mel / [email protected] by Thursday at 2:00pm
  • These volunteers will help in the following areas:
    • Security (will have vests) – Usher & Door Monitors mostly.
    • Timing
    • Heating
    • Parking Monitors

 

Courtyard: All swimmer ENTRANCE will be through the Courtyard doors. All EXITS will be through the diving well end, corner door on the spectator side. Staging & heating will start in the courtyard.

Awards:

  • ONE designated team rep will pick up and manage team awards.
    • NO PARENT PICK UP
    • NO SWIMMER PICK UP
    • Bins for award pick up will be in Courtyard
  • Results posted on side lobby glass wall. Hard Rule: NO KIDS allowed, due to weight equipment.

 

DJ Sports: All Star T-Shirts & swim/fun gear will be available for purchase.

Coaches: Entry at 6:30a & 12:30p. Packet pick up in front lobby. 2 on deck. No chairs. Must wear ID/wristband at all times. Can switch out (bracelets) and share deck access

Tent/Swimmer/Spectators: OUTSIDE in FRONT OF BUILDING

  • Main parking lot between Horace Mann & Avenue I.
  • Set up is on concrete. Bring something to weight the tents down.
    • Eliminates grass in pool & provides concrete access to all entrances.
    • Restroom access for swimmers > thru Courtyard doors
    • Restroom access for spectators > Front Lobby
  • All swimmers, spectator seating is OUTSIDE, except during specific events.
  • Extreme Weather:
    • Swimmers will be moved inside, by age group under Coach supervision
    • Spectators will need to relocate to vehicles

Traffic & Parking: 

  • Drop Off Zone: marked with cones located on side entrance/stairs of Natatorium.
  • Drivers will need to enter the back side of the building off of Horace Mann or from the Stadium parking lots, park in the side lot and/or drop and circle around back to wherever this is parking.
  • NO PARKING on Horace Mann. NO PARKING on that road behind the Nat
  • Obey all signage and parking attendants.

Security & Spectators: PLEASE READ. **THIS IS NEW due to Facility Size**

  • Spectators will be given a wristband for inside access, color by AGE GROUP.
  • Line will form on side ramp and will enter thru the side Lobby Doors by Age Group/Event.
  • Will exit thru the BACK DOOR – Stands will be cleared at the end of each race/event.
  • Please practice patience. We know it’s hot. We know this is new. We are doing this for the kids. Treat each other kindly.

TOPIC: Meet of Champions (MOC) | July 2-6, 2021

  • MOC Meets must be conducted in a regular meet format, as posted at SHRSL.org
    • Must follow Post Season bylaws: Starter, Stroke Judge, 3 Timers per lane.
      • Adaptation: No Backup Starter necessary
      • Timers: MUST have 3 timers. Wiggle room on scribes.
      • Flex on how many lanes you run to accommodate timers.
    • Swimmer gets ONE TRY for time, be honest. (ex: not twice over 2 days, take best time)
    • Follow Event Schedule with Numbers
  • REQUIRED RESULTS:
    • MUST upload to Swimtopia – Must share .hy3 file (TM8 or Swimtopia)
    • MOC meet file will be shared for MOC Entries & Results. Use is mandatory.
    • Suggested format:
      • 10 Unders in AM
      • 11 Ups in PM
      • Awards – see below
  • MOC Results: July 7 (MOC results due by noon on 7/7)
    • MOC: Results & Top Times will be posted on Wednesday as they are received
    • MOC: Results will be marked FINAL once final

      • WHY SEPARATE? There could be scratches at the first-place spot, that will move the 2nd place finisher up from within the Division

 

  • MOC MEET SPECIFICS:
    • NO BLOCKS ALLOWED
    • Sell MOC as a qualifier for All Stars this year (info below)
    • Everyone swims all qualified events
      • Two Meet Attendance rule for 2021
      • Must swim LEGAL event in at least one meet
      • No NT’s (no time) allowed. Must have legal swim.
      • No MOC/League Awards
        • Due to COVID (use normal ribbons)
        • Award all heats like Meet 1-4.
        • If short on awards, consider awarding 10U only.
    • Individuals & Relays at MOC:
  • MOC RELAYS:
    • MOC can have as many relays as necessary for max participation
    • Top Relay from each of the 3 Divisions + Next 5 fastest will advance
    • MUST SUBMIT NAMES for MOC & All-Star relays
    • Reminder: Names can be changed between MOC & All Stars
    • ONE RELAY can advance to All Stars (Team A & B can’t advance)
  • MOC INDIVIDUALS:
    • Follow all posted ENTRY requirements
    • Top qualifier from each division (3) + 13, Will list alternates
    • From across the league
      • Meet Suggestion – Only if weather comes into play:
        • Combine relays to save time (ex: boys & girls together)
        • Recommended: 20-30 min between events, for swimmer rest

MEET FILES

  • Teams will get a standard Team Manager meet file to set entries
  • Teams will get a standard meet file for STMM (Swimtopia Meet Maestro).
  • Use of one of the 2 options is required & sharing results in .hy3 format is required.

  • DATE: July 9, 2021 | LCISD Natatorium | Blocks on both Ends
  • All Star Advancers:
  • INDIVIDUALS:
      • Each Division (3) will advance the TOP FINISHER of each event.
      • Next 13 times from combined MOC results, will advance to All Stars
      • Using ONLY MOC times.
      • POSTING:
        • Will post top finisher from each division + alternates in one list
        • If teams do their job with scratches, the top 16 + 2 list will be good
        • TELL YOUR TEAM: Only the top 16 will swim
        • The list will be longer, but families need to plan
    • RELAYS:
      • Each Division (3) will advance the TOP FINISHER of each relay event.
      • Next 5 times from combined MOC results, will advance to All Stars
      • No alternates for relays will be listed. Will swim open lane.
      • Relay names must be submitted by July 7 at 12:00pm
      • Relays will be seeded by time
  • Scratches needed by END OF MOC (Tuesday, July 6). 10:00pm. NO EXCEPTIONS
    • Need a separate EMAIL SCRATCH LIST from each team
      • If no email is received, it’ll be assumed there are no scratches for AS
      • NOTE: Lots of work goes into this, hate to see open lanes and kids left at home
    • DO NOT alter MOC results (want a real TOP TIMES list from MOC)

    • Will have labels printed in Meet Mgmt room
      • Runner will bring results/labels

      • VOLUNTEER: Christine will staff (3 per session + CM)
  • COACHES:
    • Two per team on deck. No exceptions. Please don’t ask.
    • Will have credentials at pick up. Will need to be always visible while on deck.

  • TIMELINE:
    • Normal Procedure: 30 minutes between age group events (ex: 11-12 IM to 11-12 will be 30 minutes)
    • We have to slow this one down.

2021 League Update #2

HELLO ALL! It’s that time. I know it’s been quiet – thanks for those that are reaching out! Just lots of balls in the air!

SO…… Below is a breakdown of updates by category. Next meeting date will be shared soon. If something is missed, please reach out to SwimSHRSL.

2021 Specifics:

  • FIRST Day of PRACTICE | Per bylaws, no earlier than: April 26, 2021
  • DROP DEADLINE for Club/USA Swimmers: April 30, 2021
  • FIRST MEET: June 7, 2021
  • MEET of CHAMPS: July 5, 2021(Results due by Wed, July 7 at 12pm)

o Swim the meet Friday or Saturday or Monday.

o Swim the meet Tuesday but pay attention to weather

o Email with any concerns.

  • ALL STARS: July 9, 2021

 

MEETS:

  • As of now, VIRTUAL within your own team.
  • Relays…swim your relays.
  • MONDAY MEETS:

o Swim a meet format on Monday afternoon, great.

        • Swim meet events during normal practice time on Monday, great.
        • Swim meet Saturday – Tues. Make it work.
  • Possible head to head competition, virtually once team sizes/strength are determined
  • Meet of Champs: Virtual, at this time
  • All Stars

o Limited spectators at this time

o Normal format (as of now), 10Under in AM, 11Up in PM

o Swimmers will be seated outside, regardless of facility

 

 

DATA:

  • Swimtopia must have:

o   Registration info for all swimmers

o   COVID release

o   INDEMNITY release

o   CORRECT ages for swimmers.

  • Swimtopia – Meets

o   Working on DATA info, to distribute soon

o   We’ll use a combo of Team Manager & Swimtopia

  • Report Dates:

o   Rosters must be IN SWIMTOPIA prior to starting practice

o   Swimmers must be IN SWIMTOPIA prior to touching the water

  • Mark any drops CLEARLY

    • Meet1: Results due June 9, 12:00 noon
    • Meet2: Results due June 16, 12:00 noon

Please watch for more communication as teams are modifying POOL USE rules due to changes in mask mandates.

  • Ashton Village Update: Due to lack of parental participation, AV will NOT have a team this year. If this is arrive to you as an AV Board member, please reach out if you have ideas on how we can help!

2021 – SWIM IS ON

IT’S A GO FOLKS! LET’S DO THIS!

It’s a DEFINITE, DEFINITE go for the 2021 SHRSL Summer Swim Season. What It’ll look like, who knows but the SHRSL Board is meeting this week to start hammering things out. NEED YOUR HELP!
 
Need the following: New boards & coaches (email: [email protected]). Need BATHER/VISITOR load limits for your home pool. Need to know if the “limit” is a city/county/HOA rule. A few teams are looking for a coach, holler if you know of someone! Who needs a coach? Who needs assistant coaches?
